Vellum & Loom privacy policy

Last updated: October 28, 2026. Vellum & Loom Systems Inc., operating as Vellum & Loom Systems at aicontentwriter.ai, provides this privacy policy for visitors to our public website, people who correspond with us, and business customers evaluating or using our editorial workbench. When an organization enters into a separate written service agreement for a customer workspace, those contractual data processing terms govern that workspace alongside this policy.

1. Information we receive and handle

When you submit our public contact form or email us directly, we receive the name, work email address, and message content you choose to provide. Please do not include sensitive personal information or confidential source materials in public inquiries. Standard web hosting infrastructure also processes operational request metadata, such as IP addresses, browser headers, and timestamps, to deliver pages and maintain basic network security. Customer corpus documents and workspace drafts are received only inside separately arranged customer environments, never through the public website or its illustrative browser simulator.

2. Processing purposes and service providers

We use contact details and correspondence to answer inquiries, administer customer accounts, maintain service security, handle billing, and satisfy applicable legal obligations. To operate our business, we engage contracted hosting and email providers that process data on our behalf under restricted access terms. Within customer workspaces, external model inference providers are used only as agreed with the customer under strict purpose limitations. Neither Vellum & Loom Systems Inc. nor our permitted service providers train models on customer corpus data. We do not sell personal information or share it for cross-context behavioral advertising.

3. Browser storage and Google Fonts

Our public website is a static publication configured without analytics scripts, tracking cookies, or persistent browser storage. All interactive pipeline simulator calculations happen locally in your browser; simulator values never upload to our servers, and submitting the contact form transmits only its three separate text fields. Pages load typography from Google Fonts, which means your browser sends your IP address and user agent string to Google when fetching font files, subject to Google's own privacy terms.

4. Data retention and administrative safeguards

Correspondence from prospective customers and general visitors is retained while needed to address the inquiry and manage ordinary business follow-up, after which it is deleted or anonymized. Retention of customer corpus materials and workspace records is governed by our written agreement with each customer, and residual backup copies expire under the agreed retention lifecycle. To protect information against unauthorized access or misuse, we apply practical administrative and technical access controls proportionate to our operations, though no internet transmission or storage system can guarantee absolute security.

5. Privacy choices and individual requests

Depending on your jurisdiction, including under applicable Colorado privacy law, you may have the right to request access to, correction of, or deletion of your personal information, as well as details about our processing practices. Statutory conditions and exemptions determine which rights apply in a specific situation. To submit a request, email [email protected] with the subject line Privacy, and we will verify your identity or your authorized agent's authority proportionately. If we decline a request, you may appeal by emailing the same address with the subject line Privacy Appeal. Browser settings can also block remote fonts.

6. Transfers, children, updates, and contact

Vellum & Loom Systems Inc. is based in the United States, and data we handle may be processed in the United States or other jurisdictions where our agreed service providers operate. Our website and editorial workbench are designed for adult business and technical teams, are not directed to children under thirteen, and do not knowingly collect children's personal information. If we make material changes to this policy, we will post the revised date and provide appropriate notice.
